Terms & Conditions

Last updated: 26 October 2026

These terms govern use of the GearDock service operated by [LEGAL_ENTITY], [REG_ADDRESS] ("we", "the service"). By registering you accept them.

1. The service

GearDock is a multi-company equipment-tracking service: device inventory with QR labels and a public device page, assignment history, warranty tracking, procurement records, equipment requests and exports.

2. Accounts and companies

An Account is the billing owner and may contain multiple companies (tenants), each strictly isolated from the others. The account owner manages companies, users and the subscription; managers and employees receive scoped access within a company.

3. Your responsibilities

  • Keep credentials confidential; you are responsible for activity under your users.
  • Enter only data you are entitled to process — in particular employee data, for which you are the controller.
  • No abuse: no unlawful content, no attempts to breach isolation, probe, overload or disrupt the service, no reselling without agreement.
  • Configure the public QR page responsibly (holder name display is your choice and your responsibility).

4. Billing

  • The free tier includes a limited number of companies and devices per company (currently 1 company and 5 devices); limits may be adjusted per account.
  • Paid usage is EUR 50 per paid company per month, metered by the number of active paid companies on the subscription.
  • Prices exclude VAT where applicable; VAT is calculated at checkout.
  • Payments are processed by Stripe. Failed payments are retried; continued failure may lead to suspension after a grace period.
  • Cancellation is possible anytime and takes effect at the end of the billing period. Payments are non-refundable — see the Refund Policy.

5. Availability, "as is"

The service is provided "as is" and "as available", without warranties of uninterrupted availability or fitness for a particular purpose. We perform maintenance, backups and security updates with commercially reasonable care but do not guarantee an SLA on the free or standard paid tier.

6. Limitation of liability

To the maximum extent permitted by law, our aggregate liability arising out of or related to the service is limited to the amounts you paid in the twelve (12) months preceding the claim. We are not liable for indirect or consequential damages, loss of profits, or loss of data beyond our reasonable backup obligations. Nothing limits liability that cannot be limited by law.

7. Termination

You may terminate by cancelling the subscription and closing the account. We may suspend or terminate accounts that materially breach these terms after notice where practicable. Upon closure, data is handled per the Privacy Policy retention rules.

8. Changes

We may update these terms; material changes are announced to account owners with reasonable notice. Continued use after the effective date constitutes acceptance.

9. Governing law

These terms are governed by the laws of [GOVERNING_LAW/JURISDICTION]; courts of [GOVERNING_LAW/JURISDICTION] have exclusive jurisdiction. Contact: [CONTACT_EMAIL].
